Maren is seeking a clerical/registration/appointments clerk responsible for providing administrative support to ensure efficient operation of front desk responsibilities. This position requires strong communication skills, attention to detail, and delivering excellent customer service to patients, visitors, and staff.

Essential functions for this job

Essential Functions for this job:

  • Greet patients and visitors in a professional and courteous manner.
  • Collect and verify patient information, including personal details, insurance, and medical history as appropriate.
  • Enter, check in, and update patient data in the electronic medical record system accurately and promptly.
  • Answer phones, respond to patient inquiries, and provide excellent customer service.
  • Schedule and confirm patient appointments based on provider availability and applicable criteria.
  • Manage appointment cancellation, rescheduling, and waitlists efficiently.
  • Notify patients of upcoming appointments through calls, emails, text reminders, etc.
  • Answer and direct phone calls to the appropriate department or staff member.
  • Respond to patient inquiries regarding services, appointments, and billing processes.
  • Collect payments, issue receipts, and reconcile daily transactions.
  • Ensure compliance with HIPAA and other regulatory requirements.
  • Maintain strict confidentiality of patient information at all times.
  • Collaborate with healthcare providers and administrative staff to ensure smooth patient flow.
  • Provide support during busy periods or in the absence of other team members.

Minimum Qualifications:

  • High school diploma or equivalent.
  • Prior experience in a medical office, customer service, or administrative role preferred.
  • Proficiency in EMR systems and Microsoft Office Suite.
  • Strong organizational and multitasking abilities.

Work Environment

Position operates inside with little to no exposure to outside conditions.  This position is customarily subject to a controlled ambient temperature and comfortable surroundings. Requires prolonged periods of sitting and use of a computer. Occasionally may require walking and assisting patients.
